Meeting minutes from 5/17/09

Meeting was called to order at 6:21pm

Members present:

Vic Rolita, Brian Adkins, Terry Trumbly, Paul and Frances Arnold, Joe and Cheri Waller, and Darool and Erin Stapp.

Treasurer Report: $1,042.04

Old Business:

Easter and Middle Creek outing updates.

New Business:

Terry gave update on By-Laws.  He has revised the By-Laws (contact Terry if you would like a copy before final revision).  The camp rules and code of conduct will be taken out of the by-laws and put together in a separate document.  This way if they need to be changed for any reason, the process won’t be as complex.  The process for changing the rules will not be the same as changing the by-laws.  The process for which will have to be followed for changes has not been decided upon.

Upcoming outings:

Memorial day at Georgetown May 23-25th

Elkins Flat June 13-14th

4th of July at Packer Lake July 3-5th

New Members:

We have new members, Darool and Erin Stapp and their son Ryan.

New Members Packet:

Vic will be working on getting packets put together for new members.

Meeting was adjourned at 7:28

GEAR SWAP/SALE!!

We all have gear in our closets and garages that the kids have outgrown, or we have outgrown and we are always on the lookout for deals on gear for our kids and ourselves.  So we are having a gear swap/sale at the Hot Dog run!  Bring your old gently used gear and following the hot dog run at Georgetown we can all bring it out and see if others can use it.  This way we all get to clean out the closets and find some new gear at the same time.

Hello fellow dirt bike riders,

Tad, Joey and I are going to ride the family enduro next weekend (May 9th) and was wondering if anyone would like to join us.  Not sure yet if we will be camping or doing a day trip.  It is near Elkins Flat.

Thanks Paul for the great pictures. I especially like the one of the Rolita
family with the Easter Bunny! And thanks to everyone who helped me out after my
Capt Nemo impersonation at the creek crossing... And another thanks to the
Morgan's who went out of their way to help us out after we blew a tire on our
rig coming down I5. We had a great time otherwise see you all at Georgetown.

Hi,

I would add picnic tables, mixing bowls, utensils, butter, syrup, ice and cups. I assume we are not doing any steaks so no charcoal etc would be needed.

Hello Cheri.

Sorry you guys couldn't make the meeting.
I took a few brief notes...

In attendance: Terry Trumbly, Jim Smith, Roger Jacobs, Paul Arnold, Frances Schiessl, Brian Adkins

We currently have 17 paid families.

Terry is currently working on the bylaws.  He has been in contact with the Sac. chapter (I forget the lady's name that does the legal stuff).  Terry has gone over a couple changes with her, and received some input from her.

A meeting date is going to be worked out for the board of directors to meet.  Tad will be contacted to work this out, as well as a convenient meeting place.  Possibly Vacaville or Dixon.

That's about it for old items.  We than talked about upcoming events.

Middle Creek.  As scheduled.  Penny Pines will be the location if it is going to be a small turn out.  Deer Valley campground will be the alternate if there is going to be too many people for Penny Pines.  This will be determined by evite responses, and decided the week of the outing.

Stoneyford - Easter.  We discussed the need to start planning for this outing.
A list of items that have to be purchased will be made. (Word is that Roy may have an old list to start with).
Brian is not expecting a large enough of a turnout for him to bring the meats he gets from work, so a trip to Costco will have to be made for some items (meats, condiments, etc).
-Also, a list of items that the club needs at the outing, such as BBQ's, tables, etc.
-And a list of items people need to bring, such as a dozen eggs, loaf of bread, egg dye, etc.

The end.

-Paul

Hello,
Joe and I are sooooo sorry that we missed the meeting yesterday!!  We got blocked in at the hill climbs and could not get out.  We tried, we really tried!  Sorry, Sorry, Sorry!

Did someone take notes?  If so, could you send them my way.

Also, I got this information from Vicki that I was printed to bring to the meeting.  I don't know if everyone else got the email too, but here is the information.

Hi, Cheri -                             (Please share this info with the other officers at your upcoming meeting.)

I see that you all have a TBSA meeting this Sunday and you will discuss the Association Board of Directors' meeting.

Since one of your three Directors lives in Sacramento, and all three of our Directors are not regular attendees at our outings, I have proposed that we hold the Association Board meeting at the Hof Brau in Sacramento prior to one of the Sacramento Chapter's monthly meetings - we will do it before our meeting so that Jim and Brian will be able to drive home at a decent hour.  Additionally, we will buy them dinner there at the Hof Brau.

- Since the By-Laws state that the meeting shall be held "At any time prior to the commencement of the next fiscal year," we should do it on 4/15, 5/13, or 6/17, and I imagine they would like the latest date possible.

- I will provide notice of the meeting via email, along with the agenda. If any Director is truly unable to attend, I can email a proxy that he can sign and return to me by snail mail.

- Your By-Laws Amendment Committee will have work to do because the proposed Amended By-Laws should be approved by the Association Board at the meeting we're talking about.

(In 2007 Jim and I reviewed some potential changes to your By-Laws.  Since the Association By-Laws require that the Chapter By-Laws do not conflict with the Association By-Laws, someone should email the proposed Amended By-Laws for Diablo to me in advance so I can check that out and report to the Directors.)

- Inserted below is the section of your By-Laws that rules the amendment process (highlighting by italics is mine).  These provisions can, of course, be changed in the Amended By-Laws but must be adhered to in the period during which you are doing the amending.  In the case of the Sacramento Chapter, that involved me sending out the proposed changes in writing twice and a discussion in at least two separate meetings (at least we meet monthly) and then a final written ("secret") ballot at a third meeting.  -- In these days of email, you can see why amending the ancient provisions of the By-Laws will be important!

Article VIII

AMENDING THE BY-LAWS

Section 1. Changes to these by-laws may be initiated and caused to be brought to vote in the following ways:

(a) There shall be an annual review of the By-laws. At the November meeting, the Sterring Committee will prepare needed revisions, deletions, or additions for adoption vote.

(b) The proposal shall be made in writing and signed by not less then three (3) active members in good standing and presented to the President or presiding officer.

(c) The proposal shall be made by an active member and seconded by another active member at a general meeting, at which time the active membership present must agree by majority vote to bring the proposal to an adoption vote.

Section 2. Proposals which have been initiated in any of the above three methods shall be brought to adoption vote in the following manner:

(a) A copy of the duly initiated proposal shall be presented to all active members at least 15 days prior to the date of balloting, which shall be the first general meeting after all other requirements have been met. The actual calendar date of balloting shall accompany the proposal.

(b) All proposals shall be voted on by secret ballot and must receive a majority of the valid ballots cast.

(c) Ballots will be presented to active members at the general meeting on the date of balloting.

(d) The President will appoint a committee to count the ballots and report the results. The committee will have the authority to void any ballots which, in their judgment, are not in proper order.

If deactivation of this chapter should occur, all real property shall be sold, the other chapters having first chance for purchase. These proceeds and the funds in the treasury, after payment of all debts, shall be contributed to whatever organization at the time is actively benefiting trail bike riding. An example of a current organization is M.O.R.E.

To All,

My apologies, I made a mistake for the meeting time for our volunteer project on 3/14/2009.  It should be 10:00 AM instead of 8:30 AM to allow bay area volunteers a more reasonable time for travel.

Volunteers are Needed for Trail Work on March 14, 2009 on the Georgetown Ranger District.

When:  March 14, 2009, 10:00 AM

Where:  Meeting place is the Georgetown Ranger Station, 7600 Wentworth Springs Road, Georgetown, CA 95634.  Work project location is on the 1 Trail east of the Mace Mill Loop (3 Trail) and west of the Rock Creek Road (12 Road).

What to Bring:  Bring work boots to wear with ankle support and good traction sole.  Please wear long pants and bring a long sleeve shirt.  Bring a lunch and water.  A backpack for your food and drink is a good thing to have.  If you have a favorite shovel or mattock, you are welcome to bring it, otherwise we will have loaner tools.  Bring gloves, safety glasses and a hard hat.  If you don’t have safety glasses or a hard hat, we will have loaners you can use.

What we will be doing:  We plan to install landscaping block on a 100 foot long section of trail and work on trail tread and drainage structure repairs on the 1 Trail along Tobacco Gulch.

Please RSVP to Jon Jue at (530) 333-5550 or email: jjue@... by 3/12/2009 , so we can be sure to have enough equipment and tools to work on the project.  Please contact him if you have any questions.  If it is raining on 3/14, we will plan on postponing the workday to April 25.  We also plan to have trail workday on April 25 if everything works for March 14.   Thanks for your support.

TBSA Sacramento Chapter

They are now charging $5.00 a day check out time 2:00 PM. They have
given each camp a number and a central pipe self service system. I
under stand Hollister is limiting how many people they have in a week
end. I have all so hear Carnegie is also turning people away. The last
few times I have been to Davis Flat Most of the groups are first time
riders. The ones I talked to were from Lodi,Stockton, and San Jose area.
We as a club should rent the rental area a couple of times a year for
our rides.

Hi Everyone,

It has come to my attention that not every is familiar with how a yahoo group works.  So if you want to post something to the group, just send your email to TBSAD@yahoogroups.com  You can log onto the yahoo group site if you want to check old postings or view files like the meeting minutes or outing schedule.   If you have any other questions just ask.

Hope that helps :)

Hello fellow TBSA members,

We had a great election meeting Saturday evening, thank you to all of you who came.  We went over a lot of issues so please read the minutes so you can stay up to date on what is going on in the club.

On thing that is changing this year from last is that we will be have meetings every other month.  The minutes will be sent out to you via the TBSA Yahoo Group so PLEASE make sure you join.  This way even if you are unable to attend the meeting, you will know what is discussed.  You can contact Roy Frustner if you have any questions.  It is very important to all of your elected officials that you stay up to date on what is going on in the club so please make an effort to join the Yahoo Group and read your emails.

Thank you,
Cheri

Hi Everyone,
The Evite has been sent out.  I wanted to put it out there because a hand full of people never look at the evites.  Sometimes evites end up in people's junk mail and they don't know it has been sent out.  You can also log on to www.evite.com to view it.

It is pretty easy to upload indeed.  :"> You do not have to shrink your photos, the site will do it. There is a limit of five pictures per upload but you can do that as many times as you like. For a massive upload snapfish is still an alternative, just paste a link to your Snapfish photos.

Roy has done a great job in getting this set up. I have added the
link to this group from the public TBSA site
(www.trailbikesportsmen.org). You can always check there for your
outings schedule, including driving directions. I hope you will all
use and enjoy this new tool. - - - Vicki Hepler, Newsletter Editor,

Roy,
Thanks for stepping up and setting up this message board.

The lay out is easy to understand, easy to read and easy to navigate.
I can see by the 100 and some odd photos already loaded up..it's also
easy for members to post photos.

SIMPLY AWESOME!!!!

The Memorial day outing was plagued by rain :( over a half inch which prompted the forest service to close all it's trails in the entire Georgetown area. Those members who arrived before the closure, some as early as Thursday, were able to ride until Saturday. A group of 8 riders loaded their bikes and staged at Loon Lake below the dam on Sunday. This ride took us up the granite slabs and past the first sluice. There was running water and standing puddles in many locations. There was a lot of 4WD traffic and many 4WD vehicle break downs. Our turn around happened when one of our riders injured her thumb seriously enough to warrant turning back. She needed help on the difficult sections but was able to ride other sections on her own. We returned to our camp with better weather after passing fresh snow, but there were enough sprinkles overnight to warrant the continued closure of the trails. The Junior trials went on as planned since they were not on the closed trails. The hot dogs on a string were a fun attaction also and the potluck was in conjunction with the trials trophy awards and the 50 50 raffle. There was ample firewood as you can see on the Photo section for this outing.
